Policies and Procedures Refund Policy and Procedures Gold Coast Learning Centre, Surfers Paradise

Gold Coast Learning Centre (GCLC) has a fair and equitable refund policy and procedure that is compliant with ASQA and ESOS requirements. This policy is provided to students prior to any contract being signed or prior to any payment of the course, whichever happens first.

GCLC has implemented policies and procedures to ensure students are protected by the provisions of the ESOS Act 2000 and by the ESOS Regulations 2001. The Refund Policy and Procedures are made available to students through our website, Pre-Information booklet and Student booklet.

  1. Administration and Material fees are non-refundable.

  2. Homestay Placement fees are non-refundable unless the visa is cancelled and proof of cancellation is provided. Unused weekly rental fees are refundable.

Please contact Gold Coast Learning Centre if you wish to find out more information about Australian Homestay Network’s policies and procedures.

  3. A Request for Refund form with relevant evidence is required from any student requesting a refund. The completed form must be submitted to the Manager either:

    • By email to manager@goldcoaststudy.com; or

    • By post to PO Box 567, Surfers Paradise QLD 4217, Australia

Any request for a refund is at the discretion of management.

  4. Students may not defer or change the start date of their first course, except in exceptional circumstances, as reviewed on a case by case basis by Management.

  5. If the required visa is not granted, and the student has not commenced the course, the student will receive a full refund of tuition fees.

If a student visa refusal occurred on or before the student defaulted, GCLC will pay a refund in accordance with the Education Services for Overseas Students calculation instrument specification 2014, as follows:

    1. In the case where a student did not start the course, GCLC will pay a refund less 5% or $500, whichever is lesser.

    2. In the case where the student commenced the course, GCLC must refund the unspent prepaid tuition fees.

Please note: Administration and material fees are non-refundable even in the case of visa refusal. Homestay Placement fees are non-refundable unless the visa is cancelled and proof of cancellation is provided. Unused weekly rental fees are refundable.

  6. Cancellation of Enrolment

    1. If GCLC receives written notice of cancellation of enrolment more than 28 days prior to the course commencement, 50% refund of tuition fees will be made, unless the cancellation is due to visa denial.

    2. If GCLC receives written notice of cancellation of enrolment less than 28 days prior to the course commencement, 30% refund of tuition fees will be made, unless the cancellation is due to visa denial.

    3. No refund will be given if you cancel your course on or after the original date of commencement.

  7. If a student begins a course, or the commencement date has passed, they will not be eligible for any refund.

If a student begins a course without the required visa being granted, and then receives notice of visa refusal, tuition fees will be refunded less time studied.

  8. Please note that international transfers incur a fee which will be deducted from your refund. Alternatively a cheque will be posted to you.

  9. Any special discount that applied to the original enrolment will take place at the end of the course. If, due to exceptional circumstances, such as serious illness or bereavement, a monetary credit for study weeks is granted, it will include only paid weeks remaining and will be valid for a period of 12 months from the date of issue.

  10. There are no refunds given if you withdraw voluntarily, if you are dismissed or if you are in breach of Australian Government regulations or the GCLC Code of Conduct.

  11. Any students who voluntarily withdraw or are dismissed due to breach of conditions, with outstanding payments on their payment plans will be required to pay the remainder of fees for the course they are currently studying plus a $200 cancellation fee per subsequent enrolled course.

  12. Any student who enrols in a package and cancels the package early, will forfeit their package discount and will need to pay full retail price of the courses already studied, as well as the remainder of the course they are currently enrolled in.

  13. Any refunds will be paid within 4 weeks of receipt of a successful written application which must include bank account details.

All refunds will be made via bank transfer in Australian Dollars to a nominated Australian Bank account. Gold Coast Learning Centre will pay any refund granted directly to the person who entered into the contract with GCLC, unless the person gives a written direction to GCLC to pay the refund to someone else.

All refunds will be paid through a student’s agency.

  14. In the unlikely event that Gold Coast Learning Centre is unable to deliver your course in full, you will be offered a full refund of all the course monies you have paid to date.

The full refund will be paid to you within 2 weeks of the day on which the course ceased being provided.

Alternatively, you may be offered enrolment in a suitable alternative course by Gold Coast Learning Centre at no extra cost to you. You have the right to choose whether you would prefer a full refund of course fees, or to accept a place in another course.

If you choose placement in another course, we will ask you to sign a document to indicate that you accept the placement.

  15. If Gold Coast Learning Centre is unable to provide a refund or place you in an alternative course our Tuition Protection Service (TPS), will place you in a suitable alternative course at no extra cost to you.

The Tuition Protection Service is an initiative of the Australian Government to assist international students whose education providers are unable to fully deliver their course of study. The TPS ensures that international students are able to either:

    • Complete their studies in another course or with another education provider; or

    • Receive a refund of their unspent tuition fees.
